Terms and conditions

These terms govern your use of this website and every booking made with Le Floral Tours, including bookings paid through our online payment link. They cover our terms of service, our payment, cancellation and refund policy, and how we handle your personal information.

Please read them before you confirm a journey or make a payment. Paying an advance means you accept these terms on behalf of every traveller in your booking.

Terms of service

Section 1Overview

This website is operated by Le Floral Tours, with its office at 1st Floor, Mynakam Arcade, Sreekandath Road, Ravipuram, Perumanoor, Ernakulam, Kerala 682016. Throughout this page, "Le Floral Tours", "we", "us" and "our" refer to Le Floral Tours, and "you" means the person making a booking together with every traveller included in it.

We design and operate customised holidays, tours and travel services. These terms apply to enquiries, quotations, bookings and payments made through this website, our online payment link, WhatsApp, email, telephone or in person.

By making a booking or a payment, you confirm that you have read and accepted these terms, and that you are authorised to accept them on behalf of everyone travelling under your booking.

Section 2Use of this website

You may use this website to browse our journeys, make enquiries and complete payments for confirmed bookings. You must be of legal age to enter into a contract in your country of residence, or have the consent of a parent or guardian.

  • Do not use this site for any unlawful purpose, or in a way that breaches any law that applies to you.
  • Do not attempt to interfere with the site's security, upload malicious code, or extract data from it by automated means.
  • Please give accurate information when you enquire or book. We may decline or cancel a booking made on false or misleading information.

Section 3Bookings and confirmation

A booking is confirmed only after we receive the required advance payment and issue a written confirmation. Bookings are subject to availability until the required advance payment is received.

Your itinerary sets out what is included. Anything not listed as included is payable by you. Please give us traveller names exactly as they appear on passports, along with correct contact details and any medical, dietary or mobility requirements, at the time of booking. Corrections made later may attract supplier charges.

Section 4Quotations and pricing

Quotations are prepared for a specific set of dates, travellers and inclusions, and hold good only while the quoted services remain available. Rates may change if hotels, airlines, transport operators, taxes or foreign exchange rates change before your booking is confirmed.

Prices are exclusive of GST and TCS unless the invoice states otherwise, and applicable taxes are charged at the rates in force on the date of invoicing. Any bank, remittance or currency conversion charges levied by your own bank or card issuer are borne by you.

Section 5Accuracy of information

We take care to keep the information on this site correct and current, but descriptions, photographs, sample itineraries and indicative prices are published for general guidance. Hotels change, attractions close, and seasonal conditions vary. Please treat the confirmed itinerary we issue for your booking as the authoritative document, not the website.

We may correct errors, update content or withdraw a published journey at any time without prior notice.

Section 6Third-party suppliers and links

We act as a travel organiser. The services within a journey are delivered by independent suppliers - airlines, hotels, resorts, cruise operators, transport companies, guides and activity providers - each operating under its own terms and conditions, which apply to you alongside ours.

This site may link to third-party websites. We do not control them and are not responsible for their content, accuracy or practices. Once you leave our site, this page no longer governs your use.

Section 7Passports, visas and insurance

Valid travel documents are your responsibility. We assist with visa guidance, documentation and applications, but the decision of any consulate, embassy or immigration authority rests entirely with them.

  • A visa refusal, delay, or denial of boarding or entry is not a cancellation by us. The cancellation charges in Section 18 apply in full, and visa and processing fees are non-refundable.
  • Passports must meet the validity and blank-page requirements of every country on your itinerary, including countries you transit.
  • We strongly recommend comprehensive travel insurance covering medical treatment, cancellation, baggage and personal liability for every traveller.

Section 8Traveller responsibilities

Please arrive on time for scheduled services, respect local laws and customs, and follow the reasonable instructions of guides, drivers and hotel staff. You are responsible for your own belongings throughout the journey.

We may decline or discontinue services to any traveller whose conduct endangers others, breaks the law, or materially disrupts the journey, without refund and without liability for onward arrangements.

Section 9Changes to an itinerary

Itineraries are planned well in advance and occasionally have to change. Where operational reasons, weather, local conditions, supplier decisions or safety require it, we may substitute a hotel of comparable standard, reorder sightseeing, or adjust the sequence of a journey.

We will tell you as early as we reasonably can. Where a change materially reduces what was booked, we will offer a suitable alternative or refund the affected component.

Section 10Force majeure

We are not liable for any failure or delay caused by events beyond our reasonable control, including natural disasters, extreme weather, epidemics, strikes, civil unrest, war, terrorism, airport or airspace closure, government restrictions and changes in travel advisories.

In such situations we will work to recover what we can from suppliers and pass on any recoverable amount, after deducting non-refundable costs and our service charge.

Section 11Limitation of liability

While we select our partners with care, we are not liable for the acts, omissions, delays or defaults of independent suppliers, nor for loss, injury, illness, death, damage or additional expense arising from them.

We do not warrant that this website will be uninterrupted or error-free, and we are not liable for loss arising from its unavailability.

Our liability in connection with any booking is limited to the amount you have paid to us for the affected service. We are not liable for indirect or consequential loss of any kind, including loss of enjoyment, lost earnings or missed onward connections not booked through us.

Nothing in these terms limits any liability that cannot be limited under Indian law.

Section 12Indemnity

You agree to indemnify Le Floral Tours, its directors, employees and agents against any claim, loss or reasonable cost arising from your breach of these terms, your breach of any law, or your violation of the rights of a third party.

Section 13Intellectual property

The Le Floral Tours name and logo, and the text, photographs, itineraries and design on this site, belong to us or to our licensors. You may not reproduce, republish or use them commercially without our written permission.

If you send us photographs, reviews or suggestions, you allow us to use them in our marketing with credit where practical. We are not obliged to use, return or pay for material sent to us unsolicited.

Section 14Severability and entire agreement

If any provision of these terms is found to be unlawful, void or unenforceable, that provision is severed and the remaining provisions continue in full effect.

These terms, together with your confirmed itinerary and invoice, form the entire agreement between you and us, and supersede earlier discussions or proposals. Our failure to enforce a provision is not a waiver of it.

Section 15Governing law and changes to these terms

These terms are governed by the laws of India. Any dispute arising out of a booking or a payment is subject to the exclusive jurisdiction of the courts at Ernakulam, Kerala.

We may revise these terms from time to time by publishing an updated version on this page. The version in force on the date your booking is confirmed is the version that applies to that booking.

Payment, cancellation and refund policy

Section 16Payment terms

Payments may be made by our online payment link, bank transfer, UPI or any other mode we confirm in writing. All amounts are payable in Indian Rupees unless the invoice states otherwise.

Bookings are subject to availability until the required advance payment is received.

If the balance is not received by the due date, we may treat the booking as cancelled and apply the cancellation charges in Section 18. Certain hotels, airlines, cruises, and peak-season or event-linked services may require full or non-refundable payment earlier than the schedule above. Where that applies, we will tell you in writing before you confirm.

Section 17Online payments and security

Online payments are processed by our payment gateway partner over a secure, encrypted connection. Card, UPI and net-banking credentials are handled entirely by the gateway, which operates to the Payment Card Industry Data Security Standard (PCI-DSS). We do not collect, view or store those credentials.

  • Please pay only against a payment link or invoice issued from an official Le Floral Tours email address or phone number. If a payment request looks unusual, call us before paying.
  • A payment is confirmed only once it is credited to our account. A pending or failed transaction does not confirm a booking.
  • If an amount is debited but the transaction fails, it is normally reversed by your bank within a few working days. Send us the transaction reference and we will follow it up with the gateway.
  • We may decline or reverse a payment where the booking cannot be serviced, where details are incomplete, or where a transaction appears fraudulent.

Section 18Cancellation policy

In case of cancellation of confirmed tour services, the cancellation request must be communicated by email and phone. Cancellation charges will be applicable from the date the written cancellation request is received.

A minimum 10% service charge will be applicable on all confirmed bookings cancelled after confirmation, irrespective of the above cancellation slabs.

Some services carry supplier cancellation terms that override this schedule, including non-refundable hotel rates, cruises, rail passes, event and entry tickets, and peak-season bookings. Where a supplier charge exceeds the slab above, the supplier charge applies. Flight cancellations are governed by Section 19.

Section 19Flight cancellation and refund

The flight component included in the package is subject to the respective airline's fare rules, cancellation policy and the class of ticket purchased.

Any eligible refund or credit note received from the airline will be passed on to the customer as received, after deducting applicable airline charges, taxes, service charges or any other non-refundable amount. Airline refund timelines are set by the airline and are outside our control.

Section 20Early departure and unused services

No refund will be provided for any unused services due to early departure or changes made during the tour, including accommodation, meals, transfers, sightseeing or other inclusions.

Section 21Refund processing

Where an amount is refundable after the deductions set out above, we process it as follows.

  • Refunds are approved within 7 working days of our receiving your written cancellation request and any documents needed to process it.
  • Approved amounts are released within 7 to 10 working days of approval. Your bank or card issuer may take a few additional days to post the credit.
  • Refunds are made only to the original method of payment. We do not make cash refunds or refunds to third-party accounts.
  • Payment gateway fees, bank charges and currency conversion losses are not refundable.
  • Where a refund depends on an airline, hotel or other supplier settling with us first, it is released once that settlement is received.

Section 22Amendments to a confirmed booking

We will do our best to accommodate changes to a confirmed booking. Any change is subject to availability and to the terms of the suppliers involved, and may attract an amendment fee together with any difference in cost.

A change of travel dates, destination or the number of travellers may be treated as a cancellation and rebooking, in which case Section 18 applies.

Privacy statement

Section 23Information we collect

We collect only what we need to plan, book and service your journey:

  • Contact and identity details - name, address, telephone number and email address.
  • Travel documentation - passport details, date of birth, visa and immigration information where a booking requires it.
  • Booking details - travel dates, preferences, and any medical, dietary or mobility requirements you choose to share.
  • Payment references - invoice numbers and gateway transaction identifiers. Not card numbers; see Section 26.
  • Technical data - your IP address, browser and device type, collected automatically when you browse this site.

Section 24Consent

When you give us personal information to plan a journey, make a booking or complete a payment, you consent to our collecting and using it for that purpose.

If we want to use your information for a separate purpose such as marketing, we will ask you first. You can withdraw consent for marketing at any time by writing to admin@lefloraltours.com. Withdrawing consent for information we need to deliver a confirmed booking may mean we can no longer provide that service.

Section 25How we use and share your information

We use your information to prepare quotations, make and service bookings, process payments and refunds, meet legal and tax obligations, and respond to your enquiries.

We share it with the suppliers and authorities needed to deliver your booking - airlines, hotels, transport operators, guides, insurers, consulates and immigration authorities - and with our payment gateway and professional advisers. We share only what each recipient needs.

We do not sell your personal information. We may disclose it where the law requires, or to establish or defend a legal claim.

Some suppliers are located outside India. Where your journey involves them, your information will be transferred to the country concerned and handled under the laws that apply there.

Section 26Payment data and PCI-DSS

Card, UPI and net-banking credentials are captured and processed by our payment gateway partner, not by us. They are encrypted in transit under the Payment Card Industry Data Security Standard (PCI-DSS), maintained by the PCI Security Standards Council on behalf of the major card networks.

We never ask for full card numbers, CVV or banking passwords by email, telephone or WhatsApp, and we do not store them. Please do not send them to us. We retain only the transaction reference needed to reconcile your payment and process any refund.

Section 27Third-party services

The third parties we work with use your information only to the extent needed to provide their service to us. Some, including payment processors, operate under their own privacy policies, which we recommend you read.

Once you are redirected to a third-party website or payment page, this statement no longer governs how your information is handled there.

Section 28Security and retention

We take reasonable precautions and follow accepted practice to protect your information against loss, misuse, unauthorised access, disclosure, alteration and destruction. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

We keep your information for as long as needed to service your booking and to meet legal, accounting and tax requirements, after which it is deleted or anonymised.

Section 29Cookies

This site uses cookies to keep your session active, remember your preferences and understand how the site is used, so we can improve it. You can block or delete cookies in your browser settings, though parts of the site may then not work as intended.

Section 30Changes to this statement

We may update this privacy statement from time to time. Changes take effect when published on this page, and the "last updated" date at the top of the page will reflect the revision. Where a change is material, we will say so here.

If something goes wrong

Please tell your guide, hotel or our on-ground contact while you are still travelling, so it can be put right.

Written complaints should reach us within 15 days of the end of your journey. We acknowledge every complaint within 48 hours.

Cancellation requests must be sent by email and confirmed by phone, as set out in Section 18.
